Managing Permissions (Cubed Security Roles)
Cubed provides a simple, role-based permission model to control what users can see and do in the application. User roles are managed directly within Cubed by a Cubed Administrator.
Accessing User Permissions
User roles are managed from the User Settings area of the application.
To manage user permissions:
- Open the User Settings menu item
- Select the user you want to update from the list
- Adjust the required security roles:
- Cubed Administrator
- Cubed General Counsel
- Cubed Lawyer
- Save your changes
✅ Role updates take effect immediately
Understanding Cubed Security Roles
Each role provides a different level of access and capability:
🛠️ Cubed Administrator
Full system access and control.
- Can:
- Assign and remove user roles
- Manage all users in Cubed
- Configure application settings
- Has no visibility across all matters and contracts
⚠️ Important:
A Cubed Administrator cannot remove their own Administrator role.
This action must be performed by another Cubed Administrator.
⚠️ Always ensure at least one Cubed Administrator remains configured in the system.
⚖️ Cubed General Counsel
Elevated permissions for senior legal users.
- Can:
- Restrict and unrestrict matters
- Access restricted matters
- Reassign restricted matters
- Involved in matter risk escalations
- Provides oversight of sensitive or high-risk legal work
Typically assigned to Heads of Legal or senior team members.
👩⚖️ Cubed Lawyer
Standard role for day-to-day legal work.
- Can:
- Manage assigned matters and contracts
- Update status, data, and documents
- Progress legal work through to completion
- Cannot:
- Restrict matters
- Manage system users or roles
This role is suitable for most legal team members.
Role Assignment Tips
- ✅ Assign Cubed Lawyer to all legal users as a baseline
- ✅ Add General Counsel role for users needing access to sensitive matters
- ✅ Limit Administrator role to a small, trusted group
- ✅ Regularly review role assignments to ensure they remain appropriate
Key Safeguards
- User access depends on:
- Being in the SG Cubed Users security group (managed by IT)
- Having at least one Cubed security role assigned
- Always:
- Maintain at least one Cubed Administrator
- Remove roles before offboarding users
- Follow your organisation’s access governance policies
