Adding and removing users

Cubed by Law Squared integrates with your organisation’s Microsoft environment but does not have direct access to your Entra ID (Azure Active Directory).

This means your internal IT team is responsible for adding and removing users from the platform.

To onboard a new user into Cubed, coordination between your IT team and a Cubed Administrator is required.


Step 1: Add the User to the Cubed Security Group (IT)

Your IT team must:

  • Add the user to the SG Cubed Users security group

This action will automatically:

  • Add the user to the Cubed Power Platform environment
  • Add the user to the Cubed Legal team

Step 2: Assign Licensing (IT)

Your IT team must:

  • Assign a Power Apps Premium licence to the user

Without this licence, the user will not be able to access Cubed.


Step 3: Assign Cubed Roles (Cubed Administrator)

Once the user appears in Cubed:

A user with the Cubed Administrator role must:

  • Assign the appropriate security role(s), such as:
    • Cubed Administrator
    • Cubed General Counsel
    • Cubed Lawyer

This step determines what the user can see and do within the application.

To safely remove a user from Cubed, please follow the process to ensure access is fully revoked.

Step 1: Remove Cubed Security Roles (Cubed Administrator)

A Cubed Administrator must:

  • Remove all assigned roles:
    • Cubed Administrator
    • Cubed General Counsel
    • Cubed Lawyer

This immediately prevents access within the application.


Step 2: Remove Licensing (IT)

Your IT team must:

  • Unassign the user’s Power Apps Premium licence

Step 3: Remove from Security Group (IT)

Your IT team must:

  • Remove the user from the SG Cubed Users security group

This removes the user from:

  • The Cubed environment
  • The Cubed Legal team

Step 4: Notify Cubed Support

After completing the above steps:

  • Send an email to support@cubedlegal.com
  • Include the user’s details and confirmation of removal

The Cubed team will perform a final clean-up step within your Power Platform environment.

Key Considerations

  • Cubed user management is partially automated via security groups
  • IT involvement is required for both onboarding and offboarding
  • Security roles in Cubed must be managed separately by a Cubed Administrator
  • Always complete the full removal process to ensure access is fully revoked
